We've upgraded our IT system for easier ordering

We have just upgraded our entire IT system to automate all of our business processes seamlessly and to ensure that they are now fully integrated with Bibby Scientific Limited. Prior to July 2012, we relied on a patchwork of IT systems that could not give a real-time view of costs, including an ageing Unix-based MRP (material requirements planning) system that was time-consuming and cumbersome to use and a separate accounts package.

"Our existing systems needed replacing and with the acquisition by Bibby Scientific, Infor XA was the natural choice, being the standard business software used by all Bibby European sites. As well as MRP functionality, Infor XA also provides a fully integrated accounting solution that eliminates time-consuming, labour-intensive reconciliation between our old systems", says Ian Waldie, Materials Manager at Electrothermal.

Flexible and reliable client-server solution

The Infor XA-based ERP solution from Open Business Solutions is a client-server system that covers all business functions for Electrothermal, including purchasing, selling, stock management, materials management, costing, engineering, planning and financials. It provides a central database that the various departments can use to share information easily from a single, accurate source. Information needs only to be input once and updates are in real time, giving fast and accurate answers to those using it.

The system is very flexible and secure, allowing the easy addition and set up of new users as required (there is no software to install on individual desktop computers). This flexibility is very reassuring as it protects Electrothermal's IT investment and enables it to grow with us long into the future.

Gaining the benefit of integration

Ian Waldie continues: "The integrated finance package will offer genuine time savings gained from replacing manual journals and reports. The system will also allow us to run MRP daily to react more quickly to customer orders, running automatically each morning and sending out information to each department so that they know what they have to deal with. We think it will support our people much more than the old system and we'll be able to more easily interact with other Bibby sites around the world."

By using the system, Electrothermal will gain tighter control of materials. It will provide visibility of stocks and enable precise and timely ordering of stock, and will thus help to manage manufacturing costs better and eliminate build delays due to missing parts.

Customer service should also improve as Electrothermal will have a clearer view of order lead times, having a real-time of view of production from initial order to completion. As Peter Day, General Manager, Electrothermal says: "Results from our 2012 Customer Satisfaction Survey show that we were already doing a good job for our customers- Infor XA should ensure that we do an excellent one! And the big plus is that it should make it even easier for our customers to order from us."
